Evergreen Accounting & Advisory (“Evergreen,” “we,” “us,” or “our”) provides a one-time, CPA-led financial assessment and a secure client portal. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. By using our website at evergreenaccounting.co, our portal, or our services, you agree to this Policy.
1. Information We Collect
We collect the following categories of information:
- Account & contact details — your name, business name, email address, and any phone number you provide.
- Documents and content you provide — files and information you upload or enter for your assessment, such as financial statements, bank transactions, formation documents, organizational charts, product and pricing descriptions, and your responses to our questionnaire.
- QuickBooks Online data — if you choose to connect QuickBooks, we access financial data from your QuickBooks Online company on a read-only basis with your authorization (see Section 3).
- Account & usage data — authentication and log information necessary to operate and secure the portal.
2. How We Use Your Information
- To perform your financial assessment and prepare your Findings Report and Action Plan.
- To operate, maintain, and secure your account and the client portal.
- To communicate with you, including status updates and service notifications by email.
- To comply with legal, regulatory, and professional obligations.
We do not sell your personal or financial information, and we do not use it for advertising.
3. QuickBooks Online Data
If you connect QuickBooks, you authorize Evergreen to access your QuickBooks Online data through Intuit’s authorized connection. Our access is read-only— we never write to, alter, or move funds within your books. We access only the financial information needed to perform your assessment, which may include profit & loss, balance sheet, transactions, and company information. You may disconnect at any time from your portal or from within QuickBooks, which revokes our ongoing access. Data already retrieved is handled per Section 6.
4. How We Share Information
- Service providers. We use trusted third-party cloud infrastructure/hosting and email-delivery providers that process data on our behalf, under confidentiality and data-protection obligations, solely to provide the service.
- Legal requirements. We may disclose information if required by law or to protect rights, safety, and security.
- With your consent or at your direction.
5. Data Security
We protect your information using encryption in transit (TLS) and at rest, access controls limiting access to authorized personnel, and a private, access-controlled document store. Any QuickBooks access tokens are stored securely. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard safeguards.
6. Data Retention & Deletion
We retain your information for as long as needed to provide the service and as required to meet legal, tax, and professional record-keeping obligations. You may request deletion of your information by emailing us; we will honor such requests subject to those obligations.
7. Your Rights
Depending on your location, you may have the right to access, correct, delete, or port your personal information, and to withdraw consent. California residents may have additional rights under the CCPA/CPRA, including the right to know and to delete, and the right not to be discriminated against for exercising those rights. 8. Children’s Privacy
Our services are intended for business owners and are not directed to individuals under 18. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this Policy from time to time. We will post the updated version with a new “Last updated” date, and material changes will be communicated where appropriate.
